LOGISTICAS DEL EVENTOS

Durante mi tiempo en la Asociaci√≥n Latinoamericana, yo asist√≠ en muchos eventos especiales.¬† ¬ŅPero que necesitas para est√©s eventos?¬† Seguro, yo se ayudar correr un evento, pero como sobre las log√≠sticas del eventos.¬† Un d√≠a Sarita inv√≠teme en el cuarto con Stephanie Stevenson y Veronica Maldonado, 2 mujeres que son expertas para poner eventos espectaculares para escucha en como eventos esta planificando.¬† En esta reuni√≥n, estuvimos hablando sobre La Copa de Latina.¬† Como observe la discusi√≥n, yo aprend√© los ins y outs de planifica un evento espectacular.

During my time at the Latin American Association, I attended many special events that quenched my thirst for experiential marketing.  But what do you need in order for these events to run flawlessly?  Sure, I know how to help run an event, but what about the logistics of the events that you don’t see planned?  One day, Sarah invited me in on a room with Stephanie Stevenson and Veronica Maldonado, 2 women who have become experts on putting on spectacular events.  In this serene setting, these business women were talking about the logistics of the Copa Latina event held in June.  As I sat in on the discussion learning from these women, I learned the ins and outs of planning a spectacular event.

How do vendors park and where is the direction for guiding people to this parking?¬† In the development of tents, is there enough space for the tables under the layout.¬† It can be a learning experience for new venues.¬† The importance of checking-in of vendors and volunteers should not be overlooked.¬† Not enough workers make your schedule run late and cause delays.¬† You want to have the event well organized and running on schedule.¬† The entertainment obviously should be enriching at the event too (Bands, DJ’s, and Raffles).¬† You might need to scale back on the stage to keep the time schedule open.¬† The weather can also play a factor and you should prepare accordingly.¬† After this group of women mentioned their concerns, they finished by writing a list of questions they needed to answer for putting on a spectacular event:

How many workers do you need?
Have you outgrown your venue before you started?
Who are our special appearances, vendors, and sponsors?
How much money are the vendors making off the event?
What is the correct path for parking?
Can we utilize students for developing the event?
What is the plan that will maximize the sponsors for the allotted space?
What price will we charge for the event?
Who will break down and pick up the tents?
What possible delays might we expect in the schedule?
Finally, to combat these questions, there are online event marketing tools that you can utilize in your arsenal.  These include Eventful, Cvent, Ajcexchange.com, Metromix Atlanta Media, Constant Contact, Anyvite, Evite, and Facebook.
